This Personal Information Protection Policy outlines how we collect, use, disclose, and safeguard our clients' personal information. By using our services, you consent to the practices described in this policy.
- Personal Information: Refers to information about an identifiable individual, such as name, address, and phone number.
- Contact Information: Includes information that enables contact at a place of business, such as business address and phone number.
- Privacy Officer: The individual responsible for ensuring compliance with this policy and PIPA.
Policy 1 – Collection of Personal Information:
1.1 We will clearly communicate the purpose of collecting personal information before or at the time of collection, unless it is obvious and voluntarily provided by the client.
1.2 We only collect personal information that is necessary for the following purposes:
- Verifying identity
- Managing client accounts
- Providing pet care products and services
- Sending reminders, updates, and information about our services
- Sending promotions about services and products
- Meeting regulatory requirements
- Ensuring high standards of service to our clients
Policy 2 – Consent:
2.1 We obtain client consent to collect, use, or disclose personal information unless authorized or required by law.
2.2 Consent can be provided orally, in writing, electronically, or implied where the purpose is obvious and personal information is voluntarily provided.
2.3 Clients have the opportunity to opt-out of certain uses of personal information, such as mail-outs.
2.4 Withholding or withdrawing consent may limit our ability to provide specific services or products, which we will explain to assist the client in making an informed decision.
2.5 Personal information may be collected, used, or disclosed without consent in limited circumstances, such as legal requirements or fraud protection.
Policy 3 – Use and Disclosure of Personal Information:
3.1 We only use or disclose personal information for the purposes identified at the time of collection or reasonably related purposes, such as client surveys or medical alerts.
3.2 We do not sell client lists or personal information to third parties.
Policy 4 – Retention of Personal Information:
4.1 Personal information used for decisions directly affecting the client will be retained for at least one year to allow for access requests.
4.2 Personal information will be retained only as long as necessary for identified purposes or legal/business requirements.

5.1 We make reasonable efforts to ensure the accuracy and completeness of clie
nt personal information used for decision-making or disclosure.
5.2 Clients may request corrections to their personal information, and we will correct or note the request in the file accordingly.
Policy 6 – Security of Personal Information:
6.1 We are committed to safeguarding client personal information from unauthorized access, use, disclosure, or disposal.
6.2 We follow security measures, including secure file storage and password-protected systems.
6.3 Proper security measures are applied when destroying personal information, such as shredding physical documents and securely deleting electronic data.
6.4 We regularly review and update our security policies and controls to address changing technology.
Policy 7 – Client Access to Personal Information:
7.1 Clients have the right to access their personal information, subject to limited exceptions.
7.2 Requests for access must be made in writing and provide sufficient detail to identify the personal information.
7.3 Upon request, we will provide information on how personal information is used and disclosed, if applicable.
7.4 We will respond to access requests within 30 business days or provide written notice of any necessary extensions.
7.5 A minimal fee may be charged for providing access, which will be communicated to the client.
7.6 If a request is refused, we will notify the client in writing, providing reasons and available recourse options.
Policy 8 – Questions and Complaints:
8.1 Our Privacy Officer is responsible for ensuring compliance with this policy and PIPA.
8.2 Clients with concerns, questions, or complaints can direct them in writing to the Privacy Officer. If necessary, clients may contact the Information and Privacy Commissioner of Quebec.
